Risk Management for Electronic Equipment
General Precautions
It has often been seen that people operate electronic equipment
within a small area. Due to the operation of a large number of
equipment within a small area, a lot of heat is liberated which
increases the fire load of the room and increases the probabilities
of occurrence of fire. Such untoward events can be avoided by
planning proper spacing and dispersion of the equipments and thereby
reducing the fire load.
Installations of electronic equipments particularly computers
are often found in basements of buildings. In such occupancies/
offices, the windows' skylights/ entoleters or ventilators having
glass panes are at the ground level, mostly near the ceiling of
the basement or along the walls. Necessary measures must be taken
prevent the possibility of any water entering into the basement
area through these openings. It may be noted that in the event
of inundation of the adjacent road, the water may find its way
inside the premises. The pressure of the flowing water may break
the unprotected window panes and find its way inside the basement
thereby affecting the water sensitive electronic equipment. In
order to avoid such an accident, steps should be taken to protect
the windows so that those are not exposed to the direct pressure
created by the water flow.
Buildings facing the sea shore and housing sensitive electronic
equipment must protect their equipment from the effect of moisture
and corrosion caused by the sea air. This risk can be avoided/
minimised by a great deal by installing the equipment in rooms
which do not have windows facing the sea.
Steps should be taken to ensure that the equipment is kept in
a dust free environment as far as possible. The equipment when
not in use should be kept covered.
Equipment should be handled carefully to negate the possibilities
of damages caused on account of negligence on part of the users.
Losses such as breakage of monitor screens, hard disk crash, damages
caused by entry of foreign particles are avoidable if proper care
is taken while operating the equipment.
Even after taking all the care and necessary measures for preventing/
minimising the risks associated with electronic equipment, a certain
amount of residual risks does remain. It is pertinent to mention
here that just like other assets, electronic equipment is also
insurable.
The residual risks can be transferred by way of adequate insurance
cover. All four GIC subsidiaries provide an all risk insurance
cover named "Electronic
Equipment All Risk Policy" that caters to the needs of
the users quite adequately. With due respect to the various protective
covers provided under the existing insurance policies there is
a need to emphasise that "prevention is better than cure". And
the insured must take due care of their equipment during their
operation as well as when they are lying idle.
